• No. This year camp registration is a 4 step-process. In order to “reserve” spots for your students ALL 4 of the following steps must be completed:

    Step 1: Complete the Online Camp Week Request (this is done by the youth pastor ahead of time)

    Step 2: Complete Online Registration (for every student, youth pastor, & adult leader)

    Step 3: Complete the Online Consent Form (must be done by the student's legal guardian)

    Step 4: Pay All Deposits (pay online or mail a church check for all completed online registrations)

    Once all 4 of these steps have been completed, then you have successfully reserved spots.

  • The best way we can make sure that a given week of camp will be able to fit all of the students & leaders from your youth group + all of the students & leaders from every interested youth group is through the filling out of this request.

    This first-come-first-serve process works by showing our team how many people your church is estimating it will bring & making sure that we do not OVERBOOK a week of camp & run out of beds.

  • Although we're doing our best to make sure that all of our groups will fit into a given week of camp (this is the main purpose of the "Step 1: Camp Request" process)...

    Camp is still ultimately FIRST-COME-FIRST-SERVE.

    In other words, our office is doing everything we can to limit the number of churches signing up for a given week of camp, but ultimately, there is still only a certain # of beds we have available per camp...

    And to officially "reserve a spot" for each of your students, then each of your parents will need to complete Steps 2, 3, & 4.

    Step 2: Complete Online Registration (for every student, youth pastor, & adult leader)

    Step 3: Complete the Online Consent Form (must be done by the student's legal guardian)

    Step 4: Pay All Deposits (they pay YOU, then your church will pay online or mail a church check for all completed online registrations)

    If your students/parents don't do steps 2, 3, & 4... in theory, another student from another youth group could get the bed they were hoping for.

    So, let your students know that the ball's in their court.

  • Because all spots are first-come-first-serve, as Youth Pastor, if you were to:

    Step 1: Complete the Online Camp Week Request (this is done by the youth pastor)

    Step 4: Pay All Deposits (pay online or mail a church check for all completed online registrations)

    But not do:

    Step 2: Complete Online Registration (for every student, youth pastor, & adult leader)

    Step 3: Complete the Online Consent Form (must be done by the student's legal guardian)

    Then, another church could complete all 4 steps & get those spots you were hoping to reserve.

    In other words, doing steps 1 & 4 only will NOT effectively reserve your church’s spots.

  • Registration opens December 1st through two weeks before the start of your camp week.

  • Your registration link automatically switches to a waitlist link when registration closes. You can register anybody to this waitlist, but it is NOT a guarantee that we will be able to get them in.

    If you register to the waitlist, please make sure they sign their consent. If we are able to get them in, we will add their total to your invoice and you will pay it at check-in. No need to pay their deposit early.

    Our staff will let you know via email if waitlist registrations are accepted. Please make sure you have received a confirmation email from our camp staff letting you know that your student was switched off of the waitlist PRIOR TO arrival to camp.

    Leaders cannot be registered to the waitlist. If it is an emergency, please email camp@stxym.org

  • The registration deadline is two weeks before the start of your camp week. Exit this FAQ page and head back to the Youth Camp page to find specific dates for your camp.

  • The deposit MUST be paid before the end of the Super Early, Early, On-Time, Fashionably Late, Late, or Last Chance deadline to hold your spot in that price bracket. Remember, the deposit alone DOES NOT hold your church spots. Steps 1-4 must all be completed to reserve spots effectively.

  • All camp deposits are non-refundable. However, student transfers are allowed between the same gender until 2 weeks before your camp date for a $10 transfer fee. This $10 fee is for the re-ordering of DocuSign. Leader transfers are not allowed.

  • If a week of camp has already hit capacity, then you’ll be given the option to be added to the WAITING LIST.

    That means on March 1, at the start of the FASHIONABLY LATE pricing tier, the churches that are on the WAITING LIST will be given the option of adding their students to register for camp.

    To clarify, if another church requested a certain # of spots but haven’t filled those spots yet (by completing all 4 steps by Feb 28), then THESE spots are open to our WAITING LIST churches on March 1.

  • March 1 is the date that unfilled camp spots that have been requested via “Step 1 - Camp Request” will be released & opened to churches on the WAITING LIST.

    Camp Spots are released if Steps 1-4 have not been completed.

  • This year there are no printed camp registration forms. It’s all done digitally.

    There will be a little bit of a learning curve, but for parents, all of the “paperwork” is filled out digitally with a link that your church’s youth pastor will send you. The consent form is also signed digitally via an email to your inbox from DocuSign.

    For Youth Pastors, the digital system has proven very helpful as youth pastors no longer have to keep track of physical forms… also, the digital system will let youth pastors know when parents are done with Step 2 & Step 3 in the process (and when there are still items that are pending.)

    So, it’ll save you a lot of headache!

  • Once you have completed “Step 1 - Camp Request” after 3-5 business days the STX Team will email you 2 confirmation emails from Brushfire.

    One email will provide a manage link to “MANAGE MY GROUP” this link is for the youth pastor or church coordinator only. It will provide you with a dashboard that gives you real-time updates as to where your parents are in the registration process.

    The second email will provide a link to “JOIN MY GROUP”. This is the link you’ll want to share with all of your parents, students, etc. so that they can signup for camp!

    But know that you are able to change quantity to 1 & signup just 1 student at a time

  • Unfortunately, at this time, we do not have the means to accommodate the bringing of children to youth camp. Our team hopes to provide some options for this in the future.

  • If you, as the youth pastor, as well as the parents of that child deem them able to handle some of the mature content discussed at camp, absolutely!

  • We highly recommend that your adult leaders be 21 years of age or older.

    18-20-year-olds are allowed to serve as leaders if absolutely needed.

    All leaders are required to have cleared a Multi-State Criminal & Sexual Offender Background Check, have undergone Sexual Abuse Awareness Training, passed the Child Protection Certification Assessment, along with having received the approval of their church’s Pastoral Leadership to be present on our campgrounds.

  • Due to the dorm layouts at our various camp grounds, more than likely your church will be roomed with another church group of the same gender.

    Rooming information typically isn’t finalized until the week of camp (due to how many last minute changes occur in a typical camp season) & typically is not released to youth pastors until their arrival at camp.

    However, we always aim to keep an entire church group of the same gender together & mix in other church’s groups of the same gender with them depending on how many beds are in the room.

    We always want the leaders from a church to stay with the students from their church. So we make that the priority. And we want to do our best to keep all the students together with their church as much as possible!

    Additionally, every single adult that attends camp (regardless of which church they are attending with) will be thoroughly background checked & have taken child protection safety training, along with having the blessing of their church to come & stay with their children.
